When we engage with certification programs or licensure boards, they all have a database. And yet…they still rely on manual workarounds for some key processes. Often, staff spend time and resources on tasks that don’t already “live” in their current certification management system.
Why is that? Many systems are just online databases: great at collecting data but not designed to manage a credential management process.
LearningBuilder is different. It’s more than just a database: It harnesses the power of workflow! Our Workflow Editor allows us to configure how — and when — you collect data from your constituents (or other program participants), and what happens after you collect it. Our process-oriented architecture was built for credential management. We specialize in the initial application process and renewal/recertification, including all those small processes that can really add up to unnecessarily occupying staff and constituent time. Here are some we tend to see the most:
Requests for Accommodations
Requests for accommodations are some of the most common “outside the system” processes we see during initial configuration. We can use the Workflow Editor to configure requests as part of the initial application process and leverage the same workflow tools. These include encrypting sensitive candidate information and assigning reviewers to the requests as needed. When you approve accommodation requests, the approval and accommodation types flow into your integration with the exam provider.
If your exam provider’s scheduling system can support the accommodation type (like extra time), candidates can access it for registration and scheduling. It is much easier for candidates to schedule with approved accommodations than wait for approval — or worse, need to reschedule. They’ll also know up front if they need to call for any accommodation types (like an extra room) not directly supported in the scheduling system.
Name Change Requests and Notifications
Another frequent manual workaround we’ve eliminated is the name change process. Does that ring a bell for you?
Most systems allow end users to update parts of their demographic information, but name changes are typically not among them. In our experience, this is because organizations require supporting documentation to confirm the legality of the change.
LearningBuilder, on the other hand, supports the name change process, allowing practitioners to submit the appropriate required information for review. Once approved, the system updates the relevant demographic fields and also logs the history of the change.
Certificate Reprints
With name changes often come requests for certificate or license reprints. No matter the reason behind a reprint request, you don’t want to have to handle each one individually. Your practitioners can use LearningBuilder to update their information for the new printed credential, including associated documentation, with the click of a few buttons.
LearningBuilder can also create the necessary files and queue the print job. Your staff can easily check file statuses and proof PDFs.
Volunteer Applications
Does your organization or board rely on credentialed volunteers to help develop your programs or participate in certain parts of your certification or licensure process?
LearningBuilder supports volunteer applications that allow you to track the designation status and additional information required for different volunteer roles. You can also use the Workflow Editor to design a review rubric and approval process tailored to your volunteer roles.
We can help configure the LearningBuilder Candidate Dashboard to promote specific volunteer opportunities. We also integrate with third-party systems, like LineUp, that perform the heavy lifting of volunteer management.
Feedback and Surveys
With LearningBuilder, every process in the system offers an opportunity to survey constituents for additional information. On the initial application, you might include a customer satisfaction survey, and you might add questions from your job task analysis to the recertification application.
In all cases, LearningBuilder’s Reporting features keep information at your fingertips. You can pull reports to visualize this data and act intentionally to shape the future of your credentials.
Employment Data
As organizations conduct program research, they are often interested in their constituent practice settings, a.k.a. the employment environment. Depending on your industry, this data may be valuable to your organization or board. Rather than staff needing to reach out for that information, LearningBuilder makes it easy to collect it as a step in the initial certification and recertification application. It may not be the “meat and potatoes” of a certification management system, but it makes for a great side dish.
